The Opportunity

We are looking for an experienced Executive Assistant with a keen attention to detail and expert organisational skills to join our TripADeal team, providing direct support to our Chief Executive Officer as well as the wider Senior Leadership Team as required.

You will provide high-level administrative support to the Chief Executive Officer, ensuring the efficient operation of the function, and assisting with the execution of key initiatives. The Executive Assistant will play a key role in facilitating smooth communication and ensuring the senior leadership team can focus on strategic priorities to enable travel dreams to come true!

 

Organisational Structure

You'll report to our Chief Executive Officer, as well as work closely with the wider Senior Leadership Team, and other internal and external stakeholders.

This permanent full-time position is 100% onsite and can be based from our Byron Bay HeadQuarters or Varsity Lakes Gold Coast office, working Monday to Friday, 8-4pm or 9-5pm - you choose! 

This role will require the ability to travel between both TripADeal offices on a weekly basis to provide support to the CEO as well as attend critical meetings and events as required.

 

A Day in the Life

  • Handle incoming communication, screen emails and calls,  invitations and prioritise responses on behalf of the CEO promptly and efficiently
  • Organise and coordinate meetings, including preparing agendas, minute-taking, managing meeting-room bookings, and following up on action items
  • Coordinate travel, accommodation, and itineraries for domestic and international trips optimised for the CEO's schedule; ensuring a seamless travel experience
  • Draft, review, and edit high-quality documents, presentations, and reports as required by the senior leadership team
  • Liaise with internal and external stakeholders, maintaining strong relationships on behalf of the senior leadership team
  • Ensure the smooth running of the CEO office, including schedule management, ordering supplies, managing office services, and coordinating events
  • In addition to the CEO, secondary support is to be offered to the senior leadership team (SLT) with reporting, travel arrangements, event planning, and report preparation
  • Coordinate externals visiting TAD office sites, assist with travel arrangements, facilities required, meetings scheduled etc, ensuring a pleasant and seamless experience
  • Provide timely assistance to team members with Qantas background check renewals
  • Generate, collate and distribute Workday reports in a timely manner, as well as undertake general Workday administration as required
  • Other duties as required by the CEO and wider Senior Leadership Team

 

To be a Front Running Candidate

  • Bachelor’s degree in Business or as relevant
  • Proven experience as an Executive Assistant or similar role, supporting senior executives
  • Strong organisational and time management skills, with experience managing multiple priorities
  • High proficiency in Google Suite and MS Office Suite (Word, Excel, PowerPoint, Outlook) and other office software
  • Excellent written and verbal communication skills
  • Ability to handle confidential information with discretion
  • Experience in a fast-paced environment, preferably in a corporate setting, and can manage change effectively
  • Strong verbal and written communication skills, with the ability to interact professionally with all levels of the organisation
  • Proactive and solution-oriented with the ability to anticipate needs and resolve issues before they escalate
  • A valid Australian drivers licence with the ability to travel as required
  • The successful candidate will be required to undergo a Qantas background check
